Practical arrangements common for all projects
Travel is included. Other costs are also covered (accommodation, language course, food, pocket money, insurance, and so on).
There will be some evenings and weekend days. There may also be occasional overnight stays throughout the year and although these are usually optional for volunteers they will greatly enhance their experience with us. When the EVS volunteers want to book days off, this can be agreed in advance with their line managers.
Hosting organisation will usually use host families with a history of accommodating international students. The families often come recommended to us. We will draw up a contract with the families before the new volunteers arrive. The host families are unrelated to any hosting organisation employees. They are accessible by bus and have internet connections. We have a mobile number and email address to contact them whenever we need to and they have ours.
If there are any special requirements for the accommodation, these will be discussed with the volunteers prior to their arrival. The induction supervisor will set up the volunteers’ bank accounts, Doctor registrations and buspasses.
Bournemouth has good local transport networks so the volunteers will be able to navigate themselves around the town alone. They will have unlimited town centre buspasses with a local company so they can use it at all times for volunteering and during the weekends for leisure. Any other essential journeys requested of them will be provided by or funded by hosting organisation Bournemouth.
The volunteers will have food provided by the host families and an individual allowance which will be placed automatically into their own bank accounts each month. We will set this up for them.
Youthpass
The line managers will help the EVS volunteers to devise a learning development plan for their year of service. This will be tailored to their needs and interests and may include some free training. It may also include more informal learning through shadowing our staff and undertaking their own personal milestones, projects or research if they wish. They will have quarterly reviews with their line manager to review their tasks and timetable and to ensure they are still satisfied with their role. There will also be a Mentor whom the volunteers can request to meet with at any time throughout their stay to discuss their placement objectively.
The EVS volunteers will receive a Youthpass. The Youthpass Certificate will validate their learning outcomes and experience. They will be asked to identify some competences to work towards from the beginning of their service. We have prepared a short document which will help to prompt them when deciding which competences to choose. They include communication skills, information technology, social skills, initiative and cultural awareness. We will complete the Youthpass Certificate together with the volunteers so that they may be aware, reflect on and document their learning.
Assesment
The EVS volunteers will have access to a Mentor throughout their stay with us. The Mentor will be objective and from a different hosting organisation Bournemouth department. The volunteers will meet with the Mentor on a monthly basis (or more if required) to review their chosen competences and to reflect and assess on their learning experiences for their Youthpass Certificates. They will also meet throughout their induction and then quarterly with their line managers for more task-focused supervision.
Towards the end of the EVS volunteers’ stay, the line managers will help them to complete the Youthpass Certificate and to share their stories and achievements with others by writing articles for our newsletter.
They will also be invited to communicate with our next EVS volunteers so that the cycle of information sharing can continue between our past, present and future volunteers. This peer support helps the volunteers to privately answer any other questions or share experiences which they may not feel comfortable sharing with the Mentor or line managers directly.
